What we collect
We collect what you send us: your name, email address, telephone number if you provide one, the documents you upload for translation, and any notes you add. We do not collect payment card details — payments are processed by our payment provider and card numbers never reach our systems.
How your documents are handled
Uploaded documents are accessible only to the translator, reviewer and notary public assigned to your order. We do not submit client documents to public machine-translation services. We do not sell, rent or share your documents or personal information with anyone, and we do not use your documents to train any system.
How long we keep things
Source documents and finished translations are deleted 90 days after delivery, unless you ask us to retain them for a follow-on filing. Basic order records — who ordered what and when — are kept as long as required for tax and business records.
One exception, required by law. When a translation is notarized, New York requires the notary to record the notarial act in a journal and keep that record for ten years (19 NYCRR Part 182). That journal entry is not your document — it records the date, the type of act, and the name and address of the person who signed the translator’s certificate in front of the notary. It cannot be deleted on request, and we would be breaking the law if we deleted it. Your translated document itself is still deleted on the 90-day schedule above.
Website chat assistant
The chat window on this site is an automated AI assistant. Messages you type are sent to our server and to Anthropic, the provider of the AI model, to generate a reply, and are not used to identify you. If you leave a phone number, email or Telegram handle in the chat, the conversation is emailed to our staff so a person can reply. Please do not send documents, passport or ID numbers, or payment details through the chat — documents are uploaded only on the secure order page. The assistant gives general information about our service, not legal advice.
Cookies and analytics
This website uses privacy-respecting analytics to count page views. We do not run advertising trackers and we do not build profiles of visitors.
Your choices
You can ask us at any time to delete your documents and personal information, or to send you a copy of what we hold. Email orders@certifiedtranslationcenter.com and we will action it within 30 days.
