How It Works

1. Send us the document

Use the quote form, or email the files to orders@certifiedtranslationcenter.com. A phone photo is completely fine — you do not need a scanner, and you do not need to flatten the document or crop it. What we do need:

• Every page, including the reverse side if anything is printed or stamped there
• All four corners visible, in focus, without a finger over the seal
• The spelling of every personal name exactly as it appears on the passport, so our transliteration matches your other filings
• Who the translation is for — USCIS, a court, a university, a consulate — because that determines which certificate we issue

2. We quote you a firm price

We count the pages, identify the source language and reply with an exact price and a delivery time. During business hours this is usually within the hour. The quote is firm: it does not change later because the document turned out to be longer than it looked.

3. Translation and review

A native speaker of the source language produces the translation, working from your original rather than from any English version you may already have. This matters more than it sounds: client-supplied English drafts routinely drop dates, patronymics and registry numbers, and translating from them propagates the gaps.

The draft then goes to a second linguist for a review pass against the original, checking completeness first and phrasing second. Every seal, stamp, serial number, marginal note and signature block has to be accounted for on the English page. Illegible text is marked [illegible] rather than guessed at.

The layout is rebuilt to mirror the original page for page, so a reviewing officer can lay the two side by side and match line to line.

4. Certification and notarization

The translator signs a Certificate of Translation Accuracy naming the document, affirming fluency in both languages and attesting that the translation is complete and accurate. For court work we issue the litigation version, which names the individual translator and states their specific qualifications.

The translator then swears that certificate before a notary public — a different person from the translator, always, since a notary may not notarize their own signature or a document in which they have an interest. The notary applies a jurat and seal.

5. Delivery

You receive a print-ready PDF by email within 24 hours of approving the quote, containing the copy of the original, the translation and the signed certificate, in that order, ready to print and file. Hard copies with wet ink and an embossed seal ship the same day for $15 if you need physical originals.

If an apostille is part of the order, the wet-ink packet then goes to the county clerk and the New York Department of State, filed in person, and comes back to you by tracked mail.

6. If anything goes wrong

Send us the rejection notice. If a U.S. agency, court or institution rejects our translation on the basis of the translation itself, we correct and re-issue it at no charge, and if that does not resolve it we refund you in full. We act on rejection notices the same business day.
